Privacy policy

This policy explains what personal data Komplis HR Tech Private Limited ("Komplis", "we") collects through komplis.com, why, and what you can do about it. It covers this website, including free Komplis accounts. Use of the Komplis software is covered by your agreement with us.

What we collect

When you create a free account: your email address, name, mobile number and company, and your choices about receiving updates by email and WhatsApp. For each choice we record the wording you saw, the time, your IP address and your browser, so we can show what you agreed to.
When you sign in: a one-time code is emailed to you. Our database stores only a scrambled (hashed) form of it, and it expires after 10 minutes. While you are signed in, we keep your IP address and browser type with your session, to protect your account.
When you request a demo: your name, mobile number, email address, organisation, whether you are an employer or a consultancy, its size, what you are interested in, your message, the web page you came from, and your IP address.
When you message us on WhatsApp: whatever you choose to send us there. WhatsApp's own privacy policy also applies.
When you visit: our server keeps standard logs (your IP address, the pages you open, your browser type and the time) to keep the site secure and working.

Cookies

Always used, because the site needs them: a sign-in cookie that keeps you signed in, and a cookie that remembers your cookie choice.
Only if you click Accept: Google Analytics cookies, which tell us which pages are useful, and a short-lived Komplis cookie that tells Google Analytics you signed up. You can change your choice at any time with "Cookie settings" at the bottom of every page.

We do not use advertising cookies.

Why we use it

To show you the full State guides after you sign up: every rate, every holiday name and the official documents.
To reply to your demo request, arrange and hold a demo, and follow up about Komplis.
To send you updates about labour law changes and Komplis, only by the channels you switched on.
To keep the website secure, including stopping automated sign-ups.

Our team may contact you about Komplis using the details you gave us when you signed up or asked for a demo.

We do not sell your details or share them for anyone else's marketing.

Who handles it for us

AIC Cloud, our hosting provider, runs the server in Mumbai, India, that holds this website and its database.
Amazon Web Services (Amazon SES) sends our emails, such as sign-in codes, from its data centre in Mumbai, India.
Microsoft 365 receives your demo requests in our team's inbox, and is our backup for sending emails.
Cloudflare carries traffic between you and our server, so it sees your IP address and the pages you request. Its Turnstile service checks that sign-ups and demo requests come from people, not bots.
Google Analytics measures visits, only if you accept analytics cookies.
WhatsApp carries any messages you choose to send us there.
Google Maps shows our office on the contact page. Google receives your IP address when the map loads.

How long we keep it

Your account: until you delete it, or ask us to.
Sign-in sessions: your IP address and browser stay with a session until it ends, when you sign out or 30 days after your last visit.
Demo requests: kept with your details as a lead until you delete your account or ask us to delete them.
Server logs: up to 90 days.
Copies of emails we send (such as sign-in codes): our email system keeps a copy of each message it sends, and deletes it automatically within a month.
Consent records: when you delete your account, we keep a record that consent was given or withdrawn, without your name, email, IP address or browser.

Your rights

Under the Digital Personal Data Protection Act, 2023 you can ask us to see a summary of your personal data, correct or erase it, withdraw your consent, and nominate someone to exercise these rights for you. If you have an account, you can do most of this yourself on the My account page: change your details, switch updates on or off, and delete your account. Otherwise write to sales@komplis.com. We aim to reply within 30 days.

Complaints

If you are unhappy with how we handled your data, write to sales@komplis.com. If our reply does not resolve it, you may complain to the Data Protection Board of India.

Changes

If we change this policy, we will update this page and the date below.
